About the Position
The Administrative Officer will support the Manager in the effective coordination and administration of institutional and staff-related matters. The position requires a mature, organised and responsible professional with sound knowledge of Human Resource Management, administration and institutional procedures.
Educational Qualification
Master’s Degree in Human Resource Management / a related discipline from a recognised institution.
Additional qualifications or professional certifications in Human Resource Management or Administration will be an advantage.
Experience
5–10 years of relevant professional experience in Human Resource Management, Administration, Institutional Administration or a related field. Candidates with relevant experience in colleges, universities, educational institutions or other established organisations will be preferred. Experience in handling staff-related matters and administrative coordination will be an added advantage.
Retired professionals with relevant qualifications and experience may also be considered.
Key Responsibilities
The Administrative Officer will be expected to:
- Assist the Manager in the day-to-day administrative functioning of the Manager’s Office.
- Coordinate and follow up on administrative matters involving various departments, offices and personnel of the institution.
- Handle HR-related matters, including staff coordination, records, documentation and correspondence.
- Maintain and organise confidential personnel and administrative records.
- Assist in the implementation and monitoring of institutional administrative policies, procedures and decisions.
- Coordinate meetings, prepare relevant documents and ensure timely follow-up on matters arising from meetings and discussions.
- Draft, review and manage official correspondence, communications, notices and other administrative documents.
- Liaise with college officials, teaching and non-teaching staff, external agencies and other stakeholders as required.
- Assist in monitoring and coordinating staff-related administrative processes.
- Ensure the timely completion and proper documentation of tasks entrusted by the Manager.
- Support the Manager in institutional programmes, meetings, reviews and other official activities.
- Undertake any other administrative or HR-related responsibilities assigned by the Manager.

- Good problem-solving and decision-making abilities.
- Proficiency in MS Office and digital office systems.
- Ability to manage multiple responsibilities and meet deadlines.
- A professional, mature and responsible approach to institutional administration.
Nature of the Role
This is a responsible administrative position in the Manager’s Office, involving regular interaction with college authorities, staff members and other stakeholders. The selected candidate is expected to demonstrate professionalism, integrity, confidentiality and commitment to the effective functioning of the institution.
